Create and manage case files

Organize conversations and records with case metadata, deadlines, priorities, and optional custody.

Create a case file

Classification is a case metadata label selected from UNCLASSIFIED, RESTRICTED, CONFIDENTIAL, SECRET, and COSMIC TOP SECRET. Selecting a label does not establish a separate sharing or access-control workflow.

  1. On Dashboard, select New case file. On a narrow screen the entry may appear as New Case or Create New Case File.
  2. Replace the default Case Name with a useful title. Case Name is required; Case Description can record the objective.
  3. Add the optional Case Officer, Organization, Unit / Department, External Case Number, Client / Requesting Party, and Contact Email.
  4. Choose a Deadline, Priority, and Classification if useful for your workflow. Priority offers Low, Medium, High, and Critical.
  5. If your plan allows it and you need an audit trail, select Enable Chain of Custody and review the displayed credit cost before creating the case.
  6. Select Create case file. The new case opens and appears in the case drawer.
Example
Use ‘Example Research — public-source review’ as the case name, put your organization’s reference in External Case Number, and record the specific research question in Case Description.

Reopen and update a case

The dashboard’s Open cases, Due in 7 days, Overdue, and High priority tiles filter the case drawer. Open cases counts the saved cases available to you; there is no separate case-closing action in this workflow. Clear an active filter to see the complete list again.

  1. Select the case card in the drawer to reopen its conversation and workspace.
  2. Use Edit case details on the case card to open Edit Case Details.
  3. Change the title or metadata and select Save Changes. Cancel closes the dialog without submitting the changes.

Delete only when the whole case is no longer needed

Use Delete case file on a case card and read the confirmation. Deleting a case permanently removes the case and its associated data. There is no undo in this dialog. Export any report you need before confirming.

The drawer also supports selection and bulk deletion. Entering selection mode clears an active dashboard filter so the selection operates on the full case list. Check every selected case and the count in the confirmation before deleting.

Case creation and custody activation are separate operations. If the case is created but custody activation fails, the case can still exist. Confirm the Custody on indicator before relying on custody logging. The creation form is the available UI entry point for enabling custody.
